Staff notice (template)
A template for venues that use PassBell. Fill in the gaps, print it or send it to your staff. Not legal advice; adapt it with your accountant or lawyer.
Who is responsible
Your employer is responsible for your data in PassBell: [venue name], [address], [email or phone].
Why we use it
To call you during the shift (kitchen, bar, floor) and to see whether the call arrived. Legal basis: our legitimate interest in organising the work (GDPR Art. 6(1)(f)) and the employment contract.
What we see
- The name we typed for you and your device.
- When we called you, whether the call arrived and when you answered. Kept [30] days.
- Team messages, for 7 days (on the station and the phones).
- [Only if turned on: response times per person. We use them only to organise shifts.]
What we do not do
- Voice is never kept as a history: a voice message is held encrypted for at most 10 minutes, until it is heard.
- We do not see where you are; the app works only on the venue Wi-Fi.
- The data goes to no one else. The maker of the app has no access to it.
Your rights
You can ask for a copy, correction or deletion and object to the use, at [email]. When you leave, we remove you from the station. You can complain to your data protection authority (in Greece www.dpa.gr).
